This Privacy Policy explains how we collect, use, store, and protect your information when providing Remote Online Notarization (RON) and Mobile Notary services in the State of Florida, in compliance with Florida Statutes § 117, the Gramm-Leach-Bliley Act (GLBA), and other applicable regulations.

  • Personal Identifiable Information (PII): Full name, address, date of birth, email address, phone number.

  • Identification Documents: Scans or photographs of government-issued IDs or passports.

  • Biometric Data (RON only): Facial recognition data used for identity verification and credential analysis.

  • Audio-Visual Recordings (RON only): A complete recording of each remote notarization session as required by Florida law.

  • Document Information: Only what is necessary to confirm the identity of the signer and the document’s execution.

 

2. How We Use Your Information

We use your information solely for purposes related to performing lawful notarial acts, including:

 

  • Verifying your identity

  • Completing notarial certificates

  • Maintaining records as required by law

  • Complying with legal obligations and audits

  • Preventing fraud and unauthorized access

We do not sell, rent, or share your personal information with third parties except as required by law.

3. How We Share Your Information

We may disclose your information only under the following circumstances:

 

  • To comply with subpoenas, court orders, or legal investigations

  • With third-party vendors or RON platforms (e.g., [insert platform name like Notarize, SIGNiX, etc.]) for secure service delivery

  • To state-authorized regulators or commissions upon lawful request

All vendors we partner with are required to comply with privacy and security laws.

4. Data Retention

  • RON Audio-Visual Records: Maintained securely for at least 10 years as required by Florida law.

  • Electronic Journal Entries: Maintained securely for at least 10 years.

  • Mobile Notary Logs: Retained as required by law or until securely destroyed.

We use industry-standard encryption and access control measures to protect your data.

5. Your Rights and Choices

You have the right to:

 

  • Request a copy of your notarial record (if permitted by law)

  • Correct inaccurate personal information

  • Withdraw consent for future RON services (note: this may limit our ability to provide services)
